How to Hand Off an Already-Paid 1688 Parcel to a Shipping Agent
Get the receiving instructions, match every domestic tracking number to the paid 1688 order, and handle suppliers that dispatch in separate parcels.
Start with the receiving instructions
Confirm the receiving address and any buyer or shipment reference with the shipping agent before asking the seller to dispatch. Copy the confirmed recipient, phone, address and reference exactly. A contact address copied from a public website may be different from the address used to receive parcels. If a seller already printed a label, confirm whether the seller can still revise it before pickup.
Ask for a parcel-by-parcel dispatch record
The paid order number tells you what the seller owes you. The domestic tracking number tells you which physical parcel the courier is moving. Ask for the courier name, tracking number, parcel count, and what the seller put in each parcel. If the seller gives you one number for two pieces, ask whether it is a master waybill with child numbers or a single label covering both pieces. Save a label photo if the seller can provide it.
Copy this message to your seller
Please send this paid order to the receiving details I provide. Confirm how many parcels you will dispatch. For each parcel, send the courier name, domestic tracking number and the items packed inside. Please tell me if part of the order will ship on another day.
Chinese version to paste into seller chat:
请按我提供的收件信息发货。请确认一共发几个包裹,并逐件提供快递公司、国内运单号和包裹内的商品及数量。如有商品分批发货,请告诉我预计发货时间。
Worked example: one paid order, two parcels
Suppose you paid for twelve fabric pouches in two colors. The seller sends eight black pouches today under domestic waybill A and four beige pouches tomorrow under waybill B. Log A as eight black and B as four beige under the same order reference. When A arrives, mark that parcel received and leave B open. If the seller later replaces B with a new number, preserve the old reference and record which number superseded it. You can then ask the agent whether to wait for both or quote the arrived parcel separately.
Record to send to the shipping agent
For each parcel, send the seller name, paid 1688 order reference, seller parcel label or sequence such as 1 of 2, domestic courier and waybill, item description and quantity, expected dispatch date, and whether the weight and dimensions are estimated or measured. Include the destination postal code if you want a route review. Keep payment credentials out of the record.
Common questions
Should I paste the 1688 order number into a carrier tracker?
Use the domestic courier waybill in the carrier tracker. Keep the 1688 order number to reconcile the seller’s items with the parcel.
What if the seller says the order shipped but has no tracking number?
Ask whether pickup occurred and request the domestic courier name and waybill. Keep the parcel marked as awaiting tracking until there is enough information to identify it.
